Fieldnotes / Illustrative project record / 001

Designing a quieter project handover.

What would a handover look like if its first job were to help the next person understand the work?

This project record follows a fictional design handover. The writing structure can be adapted to other small projects.

01. Begin with the question.

Imagine a small design project whose research, sketches, and review comments live in several folders. The work is still useful, but a person joining later has to reconstruct why each file exists.

The brief

Question: How might we make a project understandable in one sitting?

Intended result: A short entry page that explains the aim, the current choice, and the next unresolved question.

Boundary: Keep the original files where they are. Improve the introduction before changing the entire system.

02. Keep a few working observations.

A project record does not need to repeat every conversation. It needs enough context to make the important choices understandable. For this example, the working notes focus on three gaps:

These observations suggest a writing problem before they suggest a software problem. A clear entry page is a smaller first step than building a new tool.

03. Give the decision a reason.

Decision record

Choice: Create a one-page project introduction with links to the existing material.

Alternative considered: Move every note into a new workspace.

Reason: An introduction can make the context easier to follow without asking everyone to reorganize their work first.

Open question: Which details will a new reader still need to ask about?

The point is not that a one-page introduction is always the right answer. The useful part is preserving why it was chosen here and what remains uncertain.

04. End with one concrete next step.

Draft the entry page, read it without opening the working files, and mark every sentence that depends on unexplained context. Revise those sentences before adding more sections.

A future version of the concept could explore reusable brief and decision layouts. For now, this example stays with the writing itself: a question, a few observations, a choice, and an action.
